Full-Time Office Manager for the Child Development Center

Job Description

Child Development Center (CDC) serves children 18 months to 5 years with delays in communication, social responsiveness, play skills, or motor development and sensory integration through the Louise and Henry Loeb Therapeutic Nursery. Our Special Education Itinerant Teacher

(SEIT) program assists children in mainstream classrooms with additional support. The CDC Counseling Center serves the greater community, offering evaluation, as well as individual, group, and family treatment for children with behavioral and developmental challenges.

Institute for Infants, Children & Families (IICF) implements model services for preschool children with documented effectiveness on-site in community settings. IICF also offers specialized advanced certificate training in state-of-the-science approaches with infants, toddlers and preschoolers for professionals from across disciplines, with specialized focus on services for young children experiencing traumatic stress and for those with developmental challenges.

RESPONSIBILITIES include but not limited to:

Fiscal management and supervision of staff on authorizations, billing and payments for multiple billing/pay sources (Medicaid, Managed Care, Private pay, Early Intervention, and NYC Dept. of Education) for the services rendered at the facility, including submission of fees collected.

Fiscal management of petty cash program fund reconciliations & supervision of staff responsible for petty cash.

Running and analyzing reports from internal agency billing system information (Anasazi) for compliance, billing issues, levels of services, trends, client/program data analysis. Disseminating information to respective staff regarding findings and follow-up corrective action.

Supervision of staff on required documentation for services delivered and case record compliance, adhering to regulatory and licensing guidelines.

Supervision of the clerical employees at CDC; retraining/keeping abreast of the changing facets of each of their assigned work responsibilities.

Maintaining all personnel records.

Supervising designated staff member(s) on maintaining time sheets and distribution of payroll.

Supervise designated staff member(s) on ordering supplies and submitting bills for payment to accounts payable.

Managing facility work orders, contacting office equipment vendors for repairs/maintenance and following through with the typical and special issues that relate to the needs of the staff and the facility.


Previous experience with medical billing and electronic case record keeping, strong computer skills (word, excel, etc), strong managerial skills. aptitude with numbers, experience with Anasazi and proficiency in French/Spanish a plus.

High School Diploma required – college credits or BA degree preferred
