Full-Time Office Manager

Job Description

Position Summary:

Jewish Family & Children’s Service seeks an Office Manager to oversee and maintain office operations, administrative support, and physical upkeep of a large social services agency, as we pursue our mission of helping individuals and families address a wide range of life challenges.

Reporting to the Director of Operations, this role will be responsible for a broad range of duties and projects with the goal of creating a safe and comfortable environment for clients, visitors, and employees. You will be a hands-on contributor and also supervise a small team and manage vendor relationships for outsourced support. This position will require flexibility and resourcefulness, a willingness to take ownership of projects and issues as they arise, and excellent organizational and time management skills. You should be comfortable with technology, able to learn and use a range of software systems to support productivity and efficiency. Excellent customer service and communication skills (written and oral) and administrative skills are required as you will interact with a variety of internal and external constituents across the agency.

Your workday will include:

Office Management:

  • Oversee day to day administrative operations of our headquarter office in Waltham, and provide periodic support to other satellite offices in Brighton, Canton and Worcester as needed.
  • Overseeing and process daily incoming and outgoing mail, maintaining postal equipment and providing staff training on equipment,
  • Manage supply ordering
  • Coordinate event space plans with program staff, including room setup, parking, onsite vendors
  • Oversee workspace assignments, desk phone/extension/voicemail, e-fax numbers and accommodations as needed for all JF&CS employees
  • Become familiar and be flexible with agency workings and staff in order to communicate effectively and accurately
  • Perform additional tasks as needed which may include data collection/entry, project coordination, reporting, purchasing, etc.


  • Manage relationships with office/facilities vendors (phone systems, plumbing, electrician, HVAC, handyman, etc) including contracts and invoicing
  • Oversee janitorial staff, providing guidance on cleaning plans
  • Monitor and manage HVAC systems; engage vendor for repairs and seasonal adjustments
  • Provide light handy work such as hanging pictures, moving packages, arranging office furniture
  • Be available to address off-hours facilities emergencies


  • Supervise small team of office assistants performing front desk reception and administrative tasks. Provide back up coverage as needed, which may include occasional evenings and weekend days for program events.


  • At least 4 years’ experience providing office or facilities support, or other environment requiring professionalism, organization, customer service, or equivalent
  • Must operate well in a team and collaborate effectively
  • Able to work independently and flexibly, and to react quickly to solve problems in a complex environment
  • Experience managing external vendor relationships
  • Strong computer skills including Microsoft Office required along with the ability to quickly learn new technology
  • Ability to be onsite daily and provide emergency coverage as-needed
  • Able to lift up to 50 pounds
