Full-Time Facilities Manager
Established, large gallery seeks a flexible, collaborative, transparent, and responsive, hands-on leader to be directly responsible for ensuring the smooth running of the entire facility on a daily basis. They will manage and assist in maintaining the gallery mechanical systems, including HVAC, electrical, and security. They will conduct daily inspections of the facility, while making recommendations for improvements and repairs. This person will also serves as liaison with the building management concerning building and systems issues and responsibilities. The ideal candidate will possess a broad and strong track record in facilities operations with knowledge of utilities and mechanics. They will be a flexible, responsive, and team-oriented manager who is hands-on, a good problem solver, and exhibits a proactive and transparent style. Possessing a sense of urgency, she or he must demonstrate an ability to work within a fast-paced environment. The person must also be a good manager of resources and finances.
Specific role requirements below:
-Monitor gallery spaces on BMS system daily
– Monitor all non-gallery spaces daily by physically checking in on spaces and systems
-Troubleshoot any HVAC issues as they arise either with HVAC contractor or building management
-Research maintenance costs vs. repairing units in specific cases
-Research and project manage installation of of possible new climate control system
-Review and submit all invoices as related to HVAC
-Overall gallery point person for all HVAC related issues
-Troubleshoot all electrical issues in the gallery (exhibition and non-exhibition spaces) as they arise
-Review and revise necessary electrical issues in the gallery, installing new systems, working and scheduling contractors to make sure work gets done in timely manner
-Review and research current electrical plan in older parts of the gallery and implementation of new system
-Review and submit all invoices as they related to electrical work
-Overall gallery point person for all electrical related issues
Burglar, Fire Alarm, and Security Cameras
– Responsible for maintaining security systems, including alarms, coded access system, and making improvements as needed.
– Primary respondent to security alarms; responsible for establishing the chain of other respondents as back-up; primary contact to security monitoring company.
-Oversee and monitor security company relationship â€“ make sure all panic buttons, smoke detectors, motion detectors, and door contacts are working properly and troubleshoot any issues as they arise
-Renovations: work with Project Manager to make sure proper protocols are followed for burglar and fire alarms whenever renovations arise
-Add more PA systems in back office areas
-Maintain security cameras and address issues as they arise
-Oversee the Install/ move of cameras as renovations occur alongside Project Manager
-Install new cameras potentially in future for additional security
-Overall Gallery point person for all Fire, Burglar Alarm Issues, Security Cameras
-Review and submit all Security related invoices
-Schedule monthly maintenance with Elevator Company
-Resolve all issues that come up with elevator inspections
-Review and submit all invoices from elevator contractor
-Overall Gallery point person for all Private Elevator issues
-Schedule all common area repairs with building management
– Schedule all necessary building workers who need access to gallery roof: elevator repairmen, HVAC for the building, roofers for tarring, walkthroughs for PR reasons, etc.
-Troubleshoot and respond to all building management complaints and emails
-Negotiate costs and responsibilities with building management
-Overall Gallery point person for all building management
-Review and submit all invoices related to building landlord
-Review and manage all necessary gallery repairs and small additions to spaces (small repair initiatives, not large renovations), such as fixing doors, moving of electrical outlets, building shelves for offices, patching and painting walls, floor cleanings, fix hinges on old cabinets and drawers, minor kitchen repairs, etc.
-Review and submit all proposals and costs, following up on all invoices and payments
-Point person for all gallery repairs Lights
-On a daily basis, walk around facility to make sure all lights are working properly and get them replaced where necessary
-Order all lights for gallery and non-gallery spaces
-Manage all light inventory
-Review and submit all invoices as related to lighting
-Overall Gallery point person for all lighting inquiries
General Operational Duties
-General point person in gallery whenever there is a facility questions, operational issues, or emergency situations
-Scheduling floor maintenance for exhibition spaces and carpet cleaning in necessary offices/carpeted areas
-Research structural engineer drawings for the entire gallery
-Oversee onsite security and cleaning crew to ensure that the gallery is safe and clean for visitors and staff
-Pursue loading dock access with DOB
-Special requests and projects as needed.
-Knowledge of HVAC, electrical, security systems and general building maintenance.
-Excellent strategic, financial, project and time management skills.
-Proven ability to be proactive, communicate, motivate and lead.
-Experience in contracting with and supervision of outside contractors and consultants.
-Collaborative management style and proven success in problem solving and conflict resolution.
-Ability to oversee a very busy and growing facility
-Ability to be hands on, adept with tools and ability to fix minor issues a must
