Full-Time Executive Assistant to CEO

Job Description

Job Description: Provides executive administrative support to a CEO of fast-paced IT Consulting Firm. The Executive Assistant will support the CEO and management in strategic communications. Plans, manages and may prioritize work and special projects as needed.


  • Must be one step ahead of the CEO to organize and manage his time and projects to meet all deadlines
  • Able to pace and manage multiple demands/priorities at the same time
  • Appraises managers of situations affecting manager’s areas of responsibility
  • In depth knowledge of all processes, organization and personnel
  • Provides advanced administrative support to senior management and Finance department.
  • Assists in daily business affairs including coordination and execution of administrative projects; Strong management of scheduling all internal and external meetings, travel plans, conference calls and day to day activities for senior executive(s).
  • Initiates, compiles, analyze and prepare special reports.
  • Performs confidential functions including preparing confidential correspondence, reports and other complex documents.

Job Requirements:

  • Minimum of 5 years experience supporting a director or C-level executive in a high volume, professional office environment.
  • BS/BA Degree required
  • 2 years in a supervisory role
  • Highly proficient written and verbal communication skills required
  • Advanced computer skills, specifically with CRM  systems
  • Superior proficiency level in Microsoft Office  applications (Word, Excel, Power Point, Outlook).
  • Exceptional project management skills including demonstrated success in pushing projects forward and completing them on      time.
  • Excellent attention to detail with the ability to view the big picture. Excellent research and analysis skills with the      ability to process and transmit information quickly and accurately.
  • Uses tact and discretion in handling highly confidential and sensitive information.
  • Responds well to pressure, and is resourceful when managing the business of high level senior executives.
  • Ability to make sound, independent decisions and use own initiative to accomplish tasks at hand.
  • Strong interpersonal, organizational and communication skills are required, with the ability to partner with managers at all levels in multiple divisions.
  • Acts independently and demonstrates ability to recommend solutions in anticipation of senior executive(s) needs.
  • Professional demeanor and attitude.
  • Goal oriented.
  • Desire to learn and advance responsibilities.
