Full-Time Administrative Assistant

Job Description

Our client, a Real Estate Firm, is seeking an experienced and proficient office administrator assistant.
Duties include assuming responsibility for daily office operations, implementing policies and procedures, completing customer service and receptionist duties, supporting company principals and executive management teams, maintaining office appearance, inventory and data storage, providing necessary assistance as required and other related tasks.

Responsibilities:

  • Administer daily office operations.
  • Implement efficient policies and procedures.
  • Front desk and receptionist duties.
  • Greet and direct visitors and phone calls.
  • Customer assistance and client relations, offering aid and referrals to appropriate parties.
  • Assist customers and clients as able and direct escalated instances to appropriate parties; follow up to ensure satisfactory resolution.
  • Sort and reply to correspondence and external requests.
  • Maintain office appearance and inventory.
  • Establish accurate data storage and filing systems.
  • Function as assistant to company principals and executive managers.
  • Organize calendars, meetings and travel arrangements.
  • Attend meetings and record minutes.
  • Generate and distribute reports.
  • Act as internal intermediary and ensure proper flow of information.
  • Communication with various internal and external entities as directed.
  • Employ best industry practices to achieve optimal office and operational efficiency and productivity.

Requirements:

  • 3 years of related work experience.
  • Excellent oral and written communication skills.
  • Highly organized and efficient.
  • Methodical, detail oriented and motivated.
  • Proactive and capable of operating under minimal supervision.
  • Exemplary interpersonal skills.
  • Customer service and client relations abilities.
  • Good time management skills, capable of multitasking and completing multiple projects simultaneously.
  • Ability to conform to deadlines and produce in a fast paced work environment.
  • Professional and cordial manner.
  • Computer skills.

Salary: 50K
